Assigning and Removing Licenses

Managing licenses is easy with the Admin Settings panel. Here, you can assign the Primary User of the app, reassign licenses, add or remove users from the app, or check on the number of available and in-use licenses. In this article, we will cover:

🔺 For any user to have access to add or remove users or assign themselves as the Primary User, they must also have the Manage Package License and Assign Permission Sets permissions on their Salesforce profile type in conjunction with the Formstack Admin Settings permission set or status as Primary User.

  

Admin Settings Access

All users of the app have access to the Admin Settings. By default, only the Primary User, as well as anyone with the Formstack Admin Settings permission set, will have access to add/remove users. If you would like this permission set, please contact your Salesforce Administrator to grant you access.

  

Accessing the Admin Settings

Click the button towards the top right of the app.

 

Assigning the Primary User After Installation

After installing the app for the first time you will be taken directly to the Admin Settings or see the welcome screen. Here, you can click Assign to Me to assign yourself as the Primary User.

 

 

Confirm you would like to assign yourself as the Primary User.

 

Allow Formstack access by clicking Allow.

 

Note: Sometimes the ability to grant us access will cause a new browser window to appear. Certain browsers like Chrome automatically block pop-ups, so you'll want to make sure you allow popups from Salesforce or click on blocked pop-ups to ensure you can grant access.

 

 

If successful you will see the following message confirm you are the Primary User.

 

 

Adding a User

 

If you have the licenses available, you can add a user by typing their name in the "Select a user to add" box.

 

 

With this, their name should appear. Click on their name and then click the Add User button.

 

 

 

Removing a User

 

Click the Remove button next to any user you would like to remove.

 

 

Confirm removing the license for this user by clicking Yes.

 

 

Reassigning the Primary User

 

If you would like to reassign the Primary User of the app as yourself and you have the Formstack Admin Permission Set as well as the Manage Package License and Assign Permission Sets permissions on your Salesforce profile type, you can easily do via the Admin Settings panel.

 

To reassign yourself as the Primary User, click the Assign to Me button.

 

Confirm by clicking the Assign to Me button.

Grant Formstack access by clicking Allow.

With that, you should now be the Primary User!
